Minimize travel costs throughout the company, through negotiated deals and corporate travel policy

Travel policies have proven to save corporations substantial amount of money when it comes to travel and related expenditures. And it is not as restrictive as it sounds.

Travel policy is a balance of traveler preferences with the most economic resources. The more travelers you have, the probability exists of having too many resources. And too many resources mean missed opportunities. One major way to cut cost is to establish workable relationships with as few suppliers as possible and through that loyalty they will reciprocate. Due to our preferred relationships with various vendors in the industry, we are often able to offer our customers upgrades, free one-day rentals, discounts or amenities inclusive in your purchases.
Shift from a system whereby your employees incur the cost of air travel and are subsequently reimbursed, to one whereby your company pays all air travel (either through direct bill or a central Safra Bank charge card account).
A number of airlines issue air-only credit cards. However, since the recent commission cuts and caps instituted by the airlines, many of the rules have changed. After extensive research, we believe we have found an excellent product that has flexibility, can be used for air only, air/hotel/car as a “ghost” card by our agency, or an extended credit card by the same company - one for each employee.
There is currently a card co-sponsored between a credit card company and an airline that offers many options.


The first would be an airline ticket “ghost” card, that can be used for ALL airlines (there are cards that exclude certain airlines). This card can be extended to cover car and hotel. The card is free, and has extensive reporting capabilities that are also free and can be handled directly with the company or the travel agency electronically. One central bill is sent to the company. The terms are very generous - 30 days, no penalties up to an additional 30 days.

The same company offers a Visa Card Product that can be issued to all employees and can be limited for air/hotel/car only or include other options such as regular purchases, cash advance, etc. Restrictions can be put on the cards to filter out such purchases as jewelry, 900 Call Numbers, etc. One central bill can be sent if the company so chooses. The credit card company has the ability to strip out airline tickets and send a central bill for them and the additional charges can be put in as usual on employee expense reports. This may be preferable if you currently have in place a program for employee expense reports. The reporting on this card is also included free and can help reduce administration costs from the travel agency side.

One exceptional included feature is primary car rental insurance worldwide to eliminate the need for optional insurance. Most cards have secondary insurance or charge extra per company contract for primary insurance and/or insurance out of the country. It’s something to consider.

An American Express study has revealed that companies spent an additional 10% to 14% more if their employees used airline mileage card programs (or one mile per dollar spent). It produces loyalty to an airline that may not be preferred to the company.
Frequent flier numbers would, of course, continue to be used for all employees, as they are personal and non-transferable.

Of note is the fact that there is no commission paid to the travel agency signing up a corporate account for this card. That is why this company can issue individual cards or free “ghost” card and extensive reporting for both cards at no cost.

Implement a system whereby travel must be authorized by designated management, with the cooperation of the vendor who will not issue tickets until such authorization is in place.

Our communication fax sheet or e-mail contains all of the necessary information. Employees have to be informed that airline ticketing has time limits that we must adhere to. We also suggest that they fill out the passenger profile form.
